At TechIDManager, we strongly recommend avoiding shared admin accounts whenever possible. However, we recognize that certain situations—such as granting access to outside vendors or providing temporary administrative access to a machine—may require credential sharing. Instead of relying on insecure methods like sticky notes or unprotected messages, TechIDManager provides a secure, encrypted alternative with One-Time Share.
Secure One-Time Password Sharing
Any credential stored in TechIDManager can be shared by right-clicking it and selecting One-Time Share. You’ll be prompted to enter the recipient’s name. When the recipient accesses the shared credential, they must enter that same name to retrieve it.
Once confirmed, a unique URL is generated and automatically copied to your clipboard. The recipient must:
- Open the secure link
- Enter the exact name defined during setup
Access is granted only when both elements match. This means two pieces of information are required:
- The unique URL containing a long, randomized string
- The exact recipient name entered at the time of sharing
All data is encrypted end-to-end, ensuring it cannot be read in transit.
Administrators retain full control. One-Time Share can be disabled from the TechIDPortal if needed, and every share action is recorded in the Activity Log Report — including both the initiation of the share and when the recipient accesses it.
Flexible Expiration Windows
One-Time Share allows you to define exactly how long a credential remains accessible.
When creating a share in the latest version of TechIDClient or directly from the TechIDManager Portal, you can set expiration timeframes in minutes, hours, or days. This flexibility allows access to align with both operational requirements and security policies.
For example:
- 5 minutes for temporary vendor access
- A few hours for technician coordination
- Multiple days for onboarding scenarios
A One-Time Share expires when either:
- The defined time window is reached, or
- The credential has been viewed (single-view behavior applies)
This ensures access remains controlled, time-bound, and purpose-driven.
Sharing Arbitrary Credentials from the Portal
One-Time Share can also be initiated directly from the TechIDManager Portal under:
Vaults → One-Time Share
In addition to credentials already stored in a vault, you can securely transmit:
- Any username
- Any password
- A TOTP code (when the secret is provided)
This allows you to share credentials that may not yet exist within a vault while maintaining the same encrypted, time-limited, identity-verified sharing process.
This approach is particularly useful for:
- Emergency access scenarios
- Vendor onboarding
- Temporary third-party support
- Secure credential distribution outside standard vault workflows
Access to any One-Time Share always requires:
- The secure link
- The recipient’s name
By combining link-based access, identity verification, encryption, expiration controls, and full audit logging, TechIDManager ensures credentials are delivered securely, used appropriately, and never left exposed beyond their intended purpose.
