Manager Setup Instructions – TechIDManager

This is the second step from the Install Instructions for TechIDManager.


2 Configure your Organization in the TechIDPortal

These instructions cover how to link your email as the initial manager, configure some basic TechIDManager options, add additional managers, and create slots for technicians to register with.

Create Initial Manager Account

Open the TechIDPortal, located at:

https://portal.ruffiansoftware.com/

You land on the TechIDPortal login screen.

Click “Register as a new user”.

Using the same email address that you requested a ClientGuid with, follow the instructions to complete registration.

You can register an account in the Portal directly, or through Microsoft Single Sign-On (SSO).

If you registered through TechIDPortal, check your inbox for a confirmation email before continuing.

After email confirmation, or SSO, your login method will now be linked to your account in TechIDPortal.

Log into your newly created account on the Portal.

You will land on the TechIDPortal home page, with your email address and ClientGuid visible on the dashboard.


Set Initial Organization Settings

On the sidebar, click on “Client Options”. This is where global settings for your organization’s TechIDManager account live.

Navigate to the “Client Options” page within that submenu. This page contains most general settings.

You will see the general options page for your organization, with default options shown.

Set your Company Name here. The name set here will be appended to technician usernames on managed devices.

For example, with a Company Name “ExampleIT”, a technician named Martin will have access to accounts named “Martin.ExampleIT”.

Be sure to look through the other options available to you on this page, and make any modifications that you would like to make. Once you are ready to move on, click Save at the top.

The modifications you made will be saved.

The page will display the options that were modified.

On the sidebar, click on “Client Options” and navigate to “Invoice & Payment”. This page contains information about our invoice/payment process.

In the “Invoice Email” section, type in the email address that invoices should be sent to. If you want invoices sent to multiple email addresses, seperate them with semicolons (;).

Once you’re done, click Save.

A notice that the Invoice Email was changed will appear.

From now on, invoices will be sent to the email address(es) provided.

On the sidebar, click on “Client Options” and navigate to “Branding”. This page allows you to upload custom assets that are shown throughout your organization’s TechIDManager installation.

Your Company Name here is displayed in various places across the devices linked to your organization, generally in place of “TechIDManager”.

Feel free to change the Accent Color or upload icons/banners on this page. Once you are done, click Save at the top.

The modifications you made will be saved.

The page will display the options that were modified.

If you uploaded any branding assets or changed the accent color, those changes will be visible in later steps.


Grant Access to Additional Managers

On the sidebar, click on “Client Options” and navigate to “Portal Access”. This page allows you to manage the email addresses linked to your organization’s TechIDPortal.

Note that this page will show all users with access to your Portal, not only managers.

A dialog under the table allows you to add/modify the access granted to an email address.

Your email address will be listed as the only one with access to your Portal.

Your account type will be identical to the one next to your email address in the top bar. This is true for all users.

To add a new manager, look towards the dialog box at the bottom of the page.

Enter any email address that you would like to grant manager access to. If desired, set the authentication method(s) they are allowed to register with. Make sure that their Account Type is set to Manager. Finally, click the Add/Update button.

Repeat for additional managers.

If you would like to, you may give a technician access to your TechIDPortal here. This is not typically necessary, as this same access is granted automatically when you create a new Technician account.

The email address(es) you entered will be added to the list, with the authentication method and account type you entered.

An email will be sent to the email address(es) you entered, inviting them to register their account. They will need to follow steps 2.1 through 2.3 above.

An email will be sent to all other existing managers notifying them when a new manager account is created.


Create Technician Accounts

On the sidebar, click on “Techs”. This is where your organization’s technicians are managed.

Navigate to the “Techs” page within that submenu. This page lets you view, create, and modify your organization’s technicians.

An empty table will be presented to you, with the “Create New Tech” button above it.

Click the “Create New Tech” button. You will see a screen that allows you to enter a username and email address.

Enter the account information for your technician.

  • Usernames must be unique across your organization.
  • The username is combined with the “Company Name” you set earlier to create the username registered to your managed devices later (see step 2.5).
  • Email addresses added here will be granted technician-level access to your TechIDPortal. This will not override any existing manager access, if found.

Click the “Create” button to add your technician.

Repeat for additional technicians.

The technician(s) will appear in the Active/Pending Techs list on the previous page.

The status of the new technician(s) will appear as “keychange”, meaning they are ready for step 3.

The email address(es) you entered will receive an invitation email with further instructions.

The email address(es) you entered will appear in the Portal Access page with account type “Technician”.

After a technician has completed the sign-up process, they will be marked “pending”. Once that happens, you may activate them on the Techs page.

The given “pending” technician will be changed to “active”.


At this point, you have manager access to your organization’s TechIDManager web portal. You have seen how to configure options in the TechIDPortal, grant access to new managers, and create slots for technicians to sign up.

Now would also be a good time to read through how technician access is managed through Groups and Triplets.

The next step details the technician setup process, which turns your “keychange” technicians into “pending”, allowing you to activate them.
